Request for Applications for Standing Offer Agreements

The City of Surrey is seeking qualified and experienced Contractor to provide rental of tents, staging and decking equipment for the Surrey International Children's Festival.  The Contractor will develop an operation plan for the supply of tents, staging and decking during the duration of the Festival.

The Surrey International Children’s Festival is an annual outdoor event held at Bear Creek Park with performances and activities held in approximately 35 tent structures and two stages.

SCOPE OF SERVICES
Services shall include but not be limited to the supply, delivery, anchoring, installation, set up and removal of tents, staging and decking, and other related event supplies for the Children’s Festival.

The Contractor shall provide:

  1. develop an operational plan to provide set-up and removal of all tents, staging and decking for the Children’s Festival;
  2. source for the supply of all tents, staging, decking, accessories and related materials;
  3. manpower and equipment to ensure the tents, staging and decking are installed and dismantled on a timely basis as provided in the Schedule A-2. All tents, staging and decking materials are to be cleared off the site on the scheduled date;
  4. provide the equipment to ensure the delivery, installation and dismantling, and removal of all tents, staging and decks, etc. are carried out according to the timelines;

Addenda
If the City determines that an amendment is required to this RFA-SOA, the contact person will issue a written addendum by posting it on the BC Bid Website at www.bcbid.gov.bc.ca (the “BC Bid Website”) and the City Website at www.surrey.ca (the “City Website”) that will form part of this RFA-SOA. It is the responsibility of Applicants to check the BC Bid Website and the City Website for addenda. The only way this RFA-SOA may be added to, or amended in any way, is by a formal written addendum. No other communication, whether written or oral, from any person will affect or modify the terms of this RFA-SOA or may be relied upon by any Applicant. By delivery of an Application, Applicant is deemed to have received, accepted and understood the entire RFA-SOA including, any and all addenda.
