Request for Quotations

PURPOSE

The City of Surrey (the “City”) seeks qualified and professional Contractors experienced with large outdoor music festivals to provide audio, lighting and staging services for the City’s four (4) major annual festivals as follows:

  • Party for the Planet
  • Surrey Canada Day
  • Fusion Festival
  • Surrey Tree Lighting Festival.

SCOPE OF SERVICES

The Contractor should provide everything required to meet all the requirements of the Agreement including, without limitation any skilled labour, materials, tools, equipment, transportation and on-site supervision to faithfully perform and provide the Services at the City’s major events specified.

The Contractor will work closely with the City of Surrey’s Special Events Section (SES). Detailed specifications for audio, risers, lighting and truss towers are detailed in Schedule A – Specification of Goods and Scope of Services within the RFQ package. Vehicles used in the performance of the Services shall be identified on both sides with the full company name, telephone number and ID/ unit number.

Please note that the City will be responsible for providing the following items:

  1. Electrical power;
  2. Plywood for load in;
  3. Overnight security;
  4. Marquee tent for front of house (15’x15’) and side stage mix (15’x20’);
  5. Stage barricade;
  6. Fence (6’ high) compound to secure the back of house operations; and
  7. 5000lb straight mast forklift for truss arch install and removal (fork operator not provided).

Addenda

If the City determines that an amendment is required to this RFQ, the City’s Representative will issue a written addendum by posting it on the BC Bid Website at www.bcbid.gov.bc.ca (the “BC Bid Website”) and the City Website at www.surrey.ca (the “City Website”) that will form a part of this RFQ.  It is the responsibility of Contractor to check the BC Bid Website and the City Website for addenda.  The only way this RFQ may be added to, or amended in any way, is by a formal written addendum.  No other communication, whether written or oral, from any person will affect or modify the terms of this RFQ or may be relied upon by any Contractor.  By delivery of a Quotation, the Contractor is deemed to have received, accepted and understood the entire RFQ, including any and all addenda.
