Request for Quotations

PURPOSE

The City of Surrey (the “City”) invites contractors to provide a quotation on the form attached as Schedule C (the “Quotation”) for the supply of the goods (if any) and services described in Schedule A (the “Work”). The description of the Work sets out the minimum requirements of the City. A person that submits a Quotation (the “Contractor”) should prepare a Quotation that meets the minimum requirements, and may as it may choose, in addition, also include goods, services or terms that exceed the minimum requirements.

SCOPE OF SERVICES

The Work covered under this project consists of the furnishing of all superintendence, overhead, labour, materials, tools, equipment, insurance, fuel, transportation and all things necessary for and incidental to the satisfactory performance and completion of arena relief piping upgrades and secondary coolant upgrades, located at various arenas and complex in the City of Surrey, British Columbia (the “Place of Work”) in strict accordance with the Specifications and accompanying Drawings and subject to all terms and conditions of the Contract.

Place of Work is the following facilities:

North Surrey Sport & Ice Complex, 10950 – 126A Street, Surrey, B.C. V3V 0E5;

Cloverdale Arena, 6090 – 176 Street, Surrey, B.C. V3S 4E7;

Newton Arena, 7120 – 136B Street, Surrey, B.C. V3W 5E6;

South Surrey Arena, 2199 – 148 Street, Surrey, B.C. V4A 8L5; and

Surrey Sport and Leisure Complex, 100 – 16555 Fraser Highway, Surrey, B.C. V4N 0E9.

INFORMATION MEETING

At the time of issuance of this RFQ a meeting has been scheduled as follows:

Time: 9:00 a.m.

Location 1: Surrey Sport and Leisure Complex, 100 – 16555 Fraser Highway, Surrey, B.C. V4N 0E9;

Followed by Location 2: Cloverdale Arena, 6090 – 176 Street, Surrey, B.C. V3S 4E7;

Followed by Location 3: South Surrey Arena, 2199 – 148 Street, Surrey, B.C. V4A 8L5;

Followed by Location 4: Newton Arena, 7120 – 136B Street, Surrey, B.C. V3W 5E6; and

Followed by Location 5: North Surrey Sport & Ice Complex, 10950 – 126A Street, Surrey, B.C. V3V 0E5.

Note: Each person attending the Information Meeting is required to complete a Covid-19 Prework Contractor Orientation Checklist (see Attachment 4). Please send the completed checklist on or before September 1, 2021 to purchasing@surrey.ca.

Note: No minutes of the information meeting and site tour will be provided

ADDENDA

If the City determines that an amendment is required to this RFQ, the City Representative will issue a written addendum by posting it on the BC Bid website at www.bcbid.gov.bc.ca and the City website at www.surrey.ca (collectively, the “Websites”), and upon posting, any addenda will form a part of this RFQ. It is the responsibility of Contractors to check the Websites for addenda. The only way this RFQ may be added to, or amended in any way, is by a formal written addendum. No other communication, whether written or oral, from any person will affect or modify the terms of this RFQ or may be relied upon by any Contractor. By delivery of a Quotation the Contractor is deemed to have received, accepted and understood the entire RFQ, including any and all addenda.
